An Onboarding Checklist for Software Engineers

Good engineer onboarding gets a new hire productive fast and makes sure nothing is missed. The reliable way to do that is a repeatable onboarding checklist — not a different scramble every time someone joins.

Before day one

  • Create the employee profile, role, and reporting line.
  • Provision accounts and access on a least-privilege basis — only what the role needs.
  • Prepare the hardware, repositories, and a written "first week" plan.
  • Assign an onboarding buddy.

Day one: access and context

  • Walk through the codebase, environments, and how to ship a change.
  • Share the team's working agreements: how sprints run, how work is logged, definition of done.
  • Point them at the docs that actually matter (and delete the ones that don't).

First week: a real, small task

The fastest way to build confidence is shipping something real and small.

  • Give them a starter task that touches the build/test/deploy loop end to end.
  • Have them log work daily so progress is visible without status meetings.
  • Check in at the end of the week — what's unclear, what's missing.

What to avoid

  • Five systems to set up. If onboarding means provisioning a new hire across HR, the project tracker, the help desk, and the CRM separately, things get missed. Fewer systems means fewer gaps.
  • Information dumps. A wiki firehose on day one is forgotten by day three. Sequence it.
  • No owner. If nobody owns onboarding, it silently degrades.

Where one system helps

When onboarding, employee management, and the team's actual work live in one place, setup is one flow and the new hire's profile, access, and first worklogs are connected from day one. That's part of why software teams move to an ERP for software companies instead of a stack of disconnected tools.

CrewForge handles onboarding as part of employee management, and it's free for up to 10 employees.

CrewForge is an all-in-one ERP for software companies — people, worklogs, projects, client tickets, and CRM in one place.
